What is the Resignation Procedure?
The resignation procedure starts when an employee submits a resignation letter. This letter is first submitted to the supervisor or the department head before it is given to the human resource department manager.
The department also asks the employee to return the necessary equipment or utilities that was used during the employment period. Upon returning all of these, an employee clearance form is filled up by the employee. When the clearance form is filled up with all necessary information, it is then submitted to the human resource department for scheduling an exit interview.
Procedure After Employee Files a Resignation Letter
It does not mean that once the employee has submitted a resignation letter, their job is done and they are free to go. But filing a resignation letter does not work that way. In fact, submitting the letter is just the first step in the resignation procedures.
By now you already have a clue on what happens next. The employee should be given a clearance form which will serve as their ticket on the way out. Using the form, the employee should secure the affixed signatures from the heads of different departments in order to confirm that they are cleared, and has accomplished all the requirements that are necessary in order to proceed to the resignation process.
Medical Clearance Forms are used with the same purpose as the employee clearance form. However, the clearance form for medical indicates the diagnostic tests that are performed or to be performed to he employee or applicant.

Important Guidelines and Tips for Resignation
Resignation is actually a formal way of an employee to bid goodbye to the company. Sometimes reasons for resignation are reasonable and sometimes they’re not. Anyway, here are some of the following guidelines or tips for resignation:
- The resignation notice to the department head/supervisor and/or the human resource department manager should be given about a month prior to the resignation date. This would mean a 30-day notice to the company. The reason for this are:
- In order for the company to be given much time in looking for a replacement for the leaving employee/staff
- In order to have enough time in processing the employee/staff’s clearance form from the different departments
- A clearance form or any other paper works should be accomplished by the employee in order to avoid conflicts or any disputes with regards to the supplies, equipment, facilities, or any possession of the company that were used by the employee during his/her employment period.
- The management should not take the resigning employee for granted and let him/her feel that even at the last day of their employment, he/she is being cared about. This also calls for a meeting in order for the employer to know what are the problems faced by their employees.
There are different ways in using clearance forms, some are used for security with Security Clearance Forms. And some are for medical using medical clearance forms. Whatever these forms are pertained to, they all serve for one main purpose.
