Searching for a job is not a piece of cake for everyone, especially those who are in their older ages, had a few work experience in life, and those who are new in the industry. However, being laid off by a company is also difficult for those who have rendered their services and loyalty to the company’s business management and success. This is the reason why companies must properly explain to their employees why a layoff is needed by using a layoff notice form for each employee included in the layoff list.

What Is a Layoff Notice Form?
A layoff notice form is used by companies to inform their employees that the company will either be downsizing, restructuring, or will be closing permanently. Basically, once a layoff notice is sent out, the employees will be dismissed by the company regardless if any of the dismissed employees have a high rating and score in his employee evaluation or assessment since layoffs are not based on the performances of the employees. Moreover, a layoff notice must also be presented to the employees a month or thirty days prior to the day of the company layoff to allow the employees in preparing and finishing their tasks and duties in the company.

Varieties of Layoff Notice Forms
Layoff notice forms have different varieties that depend on the type of layoff that the company will be mandating in their organization:
- Layoff Transfer Notice Form – This is suitable to be used by a company who will be sending their employees to a different department or branch for a new job placement in order to downsize the costs of the company and meet the financial needs for other operations intended for the company’s business. The job transfer must also be done with the decision of the employee whether he wants to be assigned to another position or if he will want to leave the company and look for another job outside the company’s premises or to the company’s partner organizations.
- Temporary Layoff Notice Form – A layoff notice form that indicates that the situation the company’s employees are in is temporary should have the period of the layoff. Most companies will mandate a twenty-day layoff period where employees will not be called to report to the workplace unless the layoff will be halted by the owner. The form should also state the reason of the company why the layoff must be done along with the signatures of the witnesses and the employee who is included in the layoff.
- Permanent Layoff Notice Form – When this form is used, the company is implying that they no longer want the service of an employee regardless of the employee’s seniority level and expertise. Inclusions that are commonly found in a permanent layoff notice form are the calculations for the employee’s seniority to determine the benefits and compensation to be allocated to him by the company.

How to Create a Layoff Notice Letter
Some companies also prefer to create their own formal letter to address the issues and inform employees and staff about what is the company’s current situation in the industry. With this, when informing a layoff by creating a month or 2-week notice letter for the employees, the company’s representative or the human resource personnel who will be making the letter can use the following steps below to ensure that the document he will be presenting is effective and meets the general management regulations of the industry:
Step 1: Indicate the recipient and the sender’s information.
The recipient is the employee while the sender is the company. With this, the contact information and the name of the employee as well as the company’s business name must be stated in this first section of the letter. The date of when the letter was delivered and the subject of the letter should also be included.
Step 2: State the company’s objective for making the form.
The objective of the company for sending the notice must be stated in the letter as its introduction. Along with this should be the exact number of employees to remove or dismiss from the company and the year or period of when the layoff was recommended as the only strategy in meeting the company’s industrial improvement.
Step 3: Indicate an explanation for the layoff’s necessity.
The significance of indicating the company’s explanation will aid the laid-off employees to know why their services need to be halted especially since a layoff or any type of dismissal is not an expected path that employees look forward to in their employment.
Step 4: Disclose the benefits that the employee will receive.
Since a layoff is not conducted based on the performance of an employee, the company must provide benefits such as payments and insurance coverage for the laid-off employees as they leave the company. This is to send out a message that the company was grateful for the services that the employees gave for their clients and customers, as well as the time that the employees stayed in the company’s business. Common benefits that laid-off employees will be receiving include their job or workers compensations from the unused vacation leave and time off that they are individually entitled to in their employment period.
Step 5: Enlist options for the employee to consider.
There are some companies who conduct analyzation procedures in order to know if the laid-off employees will be hired in the future or after the company’s status will be stable. With this protocol, a company will be able to present options for their laid-off employees such as to be assigned to a different branch of the company who is not facing hardships and issues, or to be appointed for a different position within the company itself that has lesser compensation in the duration of the company’s situation. If the employee prefers to take the options granted by the company, then he must inform the management directly either through meeting with his supervisor or by sending a letter that will highlight his decision.
Step 6: Add a signature block.
The signature block must be able to cater the employee’s job title, name, signature, and the date of when the employee received and signed the letter or form.
Temporary Layoff Notice Form
When using any variety of layoff notice, companies must ensure that they are informing the employees the appropriate and detailed information as well as their objectives and necessary goals for taking the options of laying off employees. With the right form, a company will not only reach out the thoughts of their laid off employees but will also present them with possibilities and opportunities that will be used as a motivation for them to look forward to landing a better career in and out of the company.
