An Evaluation is an important procedure that is conducted at work or in school. Many people perceive Evaluations as a tedious and hassle-filled process; however, Evaluations are constructive tools that help an individual, an organization, or a company grow, develop, and improve. Evaluations are key processes to help calibrate an organization’s level of performance and improve on their quality of service to garner more clients and keep them.

In a school setting, evaluations are conducted in order for a teacher to gauge a student’s level of understanding and knowledge. This helps the teacher or the school administration establish ways and methods to instill learning among students. In an office setting, conducting periodic Evaluations allows employers and supervisors to asses their staff in terms of strengths, weaknesses, skills, abilities, and achievements. This helps supervisors properly manage and handle the team and profile employees accordingly.

A smart and savvy supervisor knows that employees who perform well are able to give out positive results. Good and positive results come from good management handling, which is the outcome of carefully made decisions that come from credible information and documentation.

A Performance Evaluation is a periodic process of determining an employee’s capacity, capability, achievements, skills, strengths, and weaknesses. Through an objective Job Performance Evaluation, supervisors are able to objectively analyze an employee’s performance and figure out ways to improve weaknesses and retain strengths.

The Perks of Conducting Evaluations

Determines a Person’s Strong and Weak Points

Periodic Job Performance Evaluations allow proper and objective assessments of an individual’s strengths and weaknesses. Through this process, supervisors can help employees work on ways to improve on the skills they are not so good at through career developmental training or with the providing of necessary tools.

By determining an employee’s strong and weak points, supervisors will also be able to properly profile employees into departments or provide them with tasks that allow them to exhibit their skills and enhance productivity.

Promotions and Increase in Compensation

Most companies conduct Job Performance Evaluations as a basis for an employee’s promotion. By using Evaluation Forms, supervisors and human resources can easily track the results of an evaluation and assess if an employee deserves an increase in wages and how much he should merit, or if the employee is ready to tackle bigger work responsibilities.

Allows Growth and Development

Supervisors will be able to conduct training and development programs to address an employee’s weak points. A Career Development Training is an example of a developmental program that an employer can provide to improve employee performance and productivity.

Channel of Communication

Employee Performance Evaluations can also be a channel of communication between an employee and a manager. Evaluations promote feedback, praise, and constructive criticism in the workplace. By performing performance evaluations periodically, managers and employers can recognize and reward good employees. Evaluations also help employers stay in tune with the needs and concerns of their staff.

Conducting an effective Job Performance Evaluation takes careful observation and proper documentation. Below is a step-by-step process on how to conduct an effective and constructive Job Performance Evaluation in the workplace.

Set Standards and Goals

In order for an assessor to provide accurate and objective evaluations, they must first be able to establish a set of standards or goals that will be used as a basis of criteria for grading an employee’s performance. Standards have to be the type of performance expected of an employee to accomplish, while goals should be tailored to what each employee is capable of.

Document an Employee’s Work Performance

Keep track of an employee’s work performance such as his achievements and any disciplinary action that was given to the employee for misconduct. Documenting these instances will help you properly evaluate an employee’s character and abilities.

Provide Feedback

A Job Performance Evaluation would be useless without feedback. Periodically, a manager has to set aside time to organize results of the evaluations he has conducted and discuss the results to his employees one by one. Make sure to commend the employee for his achievements and strengths. Discuss weaknesses in a constructive manner, be direct, and do not sugarcoat what you have to say, and then offer suggestions and give out target goals to help the employee improve on his weak spots.

Evaluations are important to an organization and an individual and must be properly documented. Evaluation Forms should be used when conducting assessments to make sure that clear and objective data is used as a reference for providing feedback or when promoting an employee.
